Cancellations and refunds

Every way a paid registration can be cancelled, what the athletes get back in each case, and who bears the fees. Refunds are automatic — you never handle money manually.

The principle: who cancelled decides the refund

WOD Lane distinguishes cancellations by fault. When the participant side cancels, the service fee they paid stays earned. When you (the organizer) cancel, athletes are made whole — refunded in full, with the service-fee portion at your expense. This mirrors French consumer-protection expectations and the refund policies athletes know from other platforms.

  • Participant-side cancellation (the team asks to withdraw, or misses a payment deadline): the base price is refunded, the service fee is forfeited by the athlete.
  • Organizer-side cancellation (you kick a team, or cancel the whole competition): the FULL amount is refunded, service fees included. The fee portion is debited from your Stripe balance.
  • In every case, Stripe's own processing fee is not recoverable — Stripe keeps it on any refunded charge.

Cancelling a single registration

  1. From the dashboard, open the team's registration detail page and click "Cancel registration" in the danger zone at the bottom.
  2. For a confirmed (paid) team, a modal asks WHY you are cancelling. This choice decides the refund and is recorded for your audit trail:
  • "At the participant's request" — the team asked you to cancel them. They are refunded the base price; the service fee is not refunded.
  • "Organizer decision" — you are removing the team. They are refunded in full, service fee included, at your expense.

Registrations that never completed payment (reserved, pending) cancel directly with no modal: pending payments are voided and any charge already collected is refunded automatically.

Cancelling the whole competition

From Configuration → danger zone, type the competition name to confirm. This is irreversible. Every registration is cancelled and every paid team is automatically refunded IN FULL — service fees included, at your expense — because calling off the event is by definition an organizer decision. Athletes are notified by email, and the public page shows the event as cancelled.

Automatic cancellations (missed payment deadlines)

In split-payment mode, each member has 48 hours to pay their share. If a member misses the deadline, the whole registration is cancelled automatically: members who already paid are refunded their base price (the service fee is forfeited — the failure is on the team's side), and the spot reopens.

Timeline and edge cases

  • Refunds are issued to the original payment method and typically appear within 5–10 business days — Stripe's standard delay, not something WOD Lane can accelerate.
  • Refunds are processed asynchronously within minutes of the cancellation. If one fails (expired card, closed account), the platform is alerted and resolves it — you don't need to do anything.
  • Partial refunds are not supported: a refund always covers the defined scope (base price or full amount) in one piece. Goodwill gestures outside these flows must be handled outside the platform.
