Athlete pack

The athlete pack is the bundle of physical goods athletes receive with their registration — t-shirts, meals, bibs, branded swag, anything tangible. WOD Lane lets you mix items everyone gets with optional add-ons athletes can buy at registration time.

Two kinds of items

  • Included — every athlete receives one. The cost is baked into your registration price; the item itself has no surcharge. Use this for the things you bundle into every entry — competition t-shirt, athlete bib, lunch on race day.
  • Optional add-on — athletes opt in at registration and pay a surcharge. Use this for upgrades or extras: extra meals, partner tickets, a premium hoodie alongside the standard tee.

An item can't be both — included items have no price; optional items always do (free items are still optional, just with a surcharge of 0).

Variants (sizes, flavors, choices)

Most physical goods come in variants: t-shirt sizes, meal options, flavor choices. Each pack item can have a list of options athletes pick from.

  • Add options as a simple text list, one per line — "S", "M", "L", "XL" for a t-shirt; "Vegetarian", "Meat", "Vegan" for a meal.
  • An item must have either no options at all, or at least 2 — a single-option item is rejected because there's nothing to choose.
  • Each item supports up to 30 options. The order you enter them is the order athletes see at registration.
  • Variant pricing: all options of an item share the same surcharge. There's no per-variant pricing — every size of the same t-shirt costs the same.

Setting items up

From the dashboard, go to Structure → Goodies. Click "Create First Item" (or "+ New Item" if you already have some).

  1. Give the item a name (e.g. "Event T-Shirt", "Lunch", "Athlete Hoodie").
  2. Decide whether it's included for every athlete or an optional add-on. If optional, set the price surcharge.
  3. Optionally upload an image (JPG/PNG/WebP/SVG, max 1 MB) so athletes see what they're getting.
  4. If the item has variants, paste them in the options box — one per line.
  5. Save. Drag-and-drop in the goodies tab to reorder how athletes see them.

What athletes see

During registration, each member fills in their pack selections inline alongside their own info on the registration form — there's no separate step. Two sections show up under each member:

  • "Included for every athlete" — items the member must pick options for if applicable (e.g. their t-shirt size). They can't decline these — they're already paid for as part of the entry fee.
  • "Optional add-ons" — items the member can opt in or skip. If they opt in and the item has variants, they pick one. The surcharge is added to their share of the registration.

Each member chooses their own selections — even when the leader pays for the whole team, each teammate fills in their own t-shirt size and meal preference.

How it shows up on payments

Paid optional add-ons appear as separate line items on the payment summary at checkout, on receipts, and in your Stripe dashboard. Each variant is described by name (e.g. "Athlete Hoodie — L") so you can match payments to items when you place your supplier order.

Included items and free optional items don't appear as line items because they have no price — they're just bundled into the base registration.

Editing after registration

Once a team is registered, each member can change the variant of their existing pack selections (e.g. switch t-shirt size from M to L). Useful when somebody emails you a week before the event saying their size was wrong — they can fix it themselves from their registration page.

What's not currently supported: adding a brand-new optional add-on after the registration is paid (the new line would need a separate charge), or opting out of an add-on that was already paid for. Both of those are organizer-side operations today — handle the refund or extra charge directly in your Stripe dashboard if needed.

Limits & constraints

  • Up to 20 pack items per competition. If you hit this, consolidate — most events only need 3–5 (t-shirt, meal, maybe one or two add-ons).
  • An item with options needs at least 2 — a single-option item adds clicks for no reason. Either give it no options or list every variant.
  • Up to 30 options per item. T-shirt sizes never need that many; meals and merch variants might come close.
  • Included items must be free (no surcharge). The surcharge field is hidden when "Included" is checked.

Common questions

Can I have different goodies per division?

Not yet. Pack items are configured at the competition level and apply to every athlete regardless of division. If you need division-specific items, the workaround is to make the item optional with a surcharge of 0 — only divisions whose athletes opt in get the item.

Can the price differ per variant?

No — every variant of the same item shares the surcharge. If you need price variation (e.g. larger sizes cost more), create separate items: "Hoodie (S–L)" and "Hoodie (XL–XXL)" with different prices.

What if I forgot to add an item before publishing?

You can add pack items at any time, including after publishing. New registrations will see the item; existing registrations won't be backfilled. There's no athlete-side flow to opt into a newly-added optional add-on after they've already registered, so for late additions either communicate manually with already-registered athletes or restrict the new item to future registrations only.

Are pack items required?

No. The setup checklist flags goodies as a high-priority item but it's not a publish blocker — many events ship without any pack items. You can still publish a competition with an empty goodies tab.
